Board Roles & Responsibilities
Clear descriptions of what each seat on the Fraser Valley Cornhole Board is responsible for. All board service is voluntary. Elected officers serve two-year terms, chosen by the members at the Annual General Meeting; the Chairman and Vice Chairman are standing appointments that provide continuity across terms. We encourage every member to consider putting their name forward.
Chairman
The Chairman sets the overall vision for the entire Club and ensures the Board of Directors works together consistently toward that cohesive vision. This is an appointed, standing role — not part of the two-year election cycle.
- Sets and safeguards the Club's overall vision and long-term direction.
- Ensures the Board functions well together and stays aligned around one cohesive vision.
- Provides continuity and institutional memory across board terms.
- Is a signing authority and represents the Club at the highest level when needed.
- Serves continuously, and may be removed only by a two-thirds vote of the Board of Directors.
Vice Chairman
The Vice Chairman ensures the formal, legal, and corporate standing of the Club remains legitimate and in good order. This is an appointed, standing role — not part of the two-year election cycle.
- Oversees corporate, business, banking, tax, and non-profit status matters.
- Keeps the business license, registrations, and filings current.
- Ensures the organization's formal status stays legitimate and compliant.
- Steps in for the Chairman when needed; is a signing authority.
- Serves continuously, and may be removed only by a two-thirds vote of the Board of Directors.
President
The President leads the Club's day-to-day operation and is its primary link to BC Cornhole.
- Represents the Club to the British Columbia Cornhole Association.
- Holds regular Board meetings.
- Ensures the Club operates properly and in line with BC Cornhole and Cornhole Canada.
- Is a primary signing officer and is accountable to the membership.
Vice-President
The Vice-President backs up the President and looks after the Club's physical gear.
- Is prepared to assume the President's responsibilities whenever the President is unavailable.
- Ensures the physical supplies — boards, bags, trailer, and equipment — stay in adequate condition to serve the needs of the Club.
- Serves as an alternate signing officer.
Treasurer
The Treasurer keeps the books in order for tax filing.
- Maintains accurate, filing-ready financial records for the Club.
- Integrates and reconciles the Club's financial sources: TD Bank records, Square merchant processing, Wave Accounting, and the website's own accounting ledgers.
- Ensures the figures across all systems agree and are ready for tax time.
Secretary
The Secretary ensures every meeting is properly documented and stored.
- Prepares a proper agenda for each meeting.
- Records the discussion and decisions of each meeting against that agenda.
- Distributes and safely stores the minutes and Club records.
- Is custodian of the Club's documents, including these bylaws.
Director
The Director is responsible for the Club's communication across the website and social media.
- Manages Club communications through the website and social channels.
- Uses the Club's website portal to streamline posting and outreach.
- Brings communication needs and ideas to the Board and helps execute Club decisions.
